25Live is Mason's central reservation system for reserving all academic classrooms, event space, departmental space, and special use space. All events must be scheduled in 25Live per Policy 1103.
25Live Access
Faculty and Staff
Access to 25Live is granted to all faculty and staff that request a user account. To request an account, please fill out this form. Once your account is created, you can view a training video on MasonLeaps. Training is not required, but encouraged for best use of the system.
Student Organizations
Student Organizations are granted two accounts per student organization. Accounts are created following organization enrollment or re-registration and training. For more information on this process, please go here. Students, please contact rso@gmu.edu or fsl@gmu.edu for more information concerning student group reservations or registering your student group with Mason 360.
Scheduling Information
All event spaces, academic classrooms, and many special use location requests require an event scheduler to confirm your reservation prior to use. After your request is submitted, it could take up to 5 business days to receive a response. Please do not make plans for the location until you have received a confirmation notice from the event scheduler.
Academic Classroom Priority
Academic courses and courses for credit receive priority on reservation of classroom spaces. Every semester, space is opened for event scheduling after the add/drop date. Please note that while the academic schedulers will work diligently to avoid displacing any confirmed events, academic courses take priority. The re-scheduling of a course may necessitate moving or cancelling your event.
Event Confirmation Delays
At the beginning of each semester, there is likely to be a delay processing your event request. This delay is due to the high number of events submitted at the start of the semester and courses being moved due to enrollment changes, course/instructor requirements, etc. The turnaround time to process your event request will decrease significantly after the add/drop period has passed and course schedules are solidified.
Published Calendars
25Live Publisher is a tool that uses 25Live data to populate calendars that can then be customized to fit the functional and aesthetic needs of the institution. Publisher provides a variety of formatting options for event data, including basic calendars, rolling lists, and tile views. Once a feed is customized, Publisher generates code that can be embedded into public facing or internal websites.
If you are interested in creating a published calendar, send an email to the 25Live Administrator to schedule a meeting.
Today @ Mason
Planning an event on campus? Faculty and staff are responsible for ensuring their events are included on the university calendar, Today@Mason, for both scheduling and promotional purposes. All events listed on Today@Mason or any other published calendar must be scheduled in 25live, the university's scheduling software.
On the 25live event request form, select one audience from the "categories" section of the form. The form provides information on important fields for calendar postings. Please read all instructions and be sure to enter a detailed description of the event to be shared on the calendar. Include any RSVP links or website links related to the event. The scheduler will review each submission and add the event to a calendar when processing the request.
