Catering
All events that serve food on any George Mason University campus, must follow the Approved Catering Rules:
- All caterers must be on our approved caterer list.
- Any caterer NOT listed can apply to become an approved caterer. This must be completed 30 days prior to your event start date. All clients are required to let our office know which caterer they are using within 15 days of the event.
- All clients are required to hire a caterer or a licensed bartender for any/all alcohol services. If this group is not on the approved caterer list, they will need to be added. They will also need to present a Certificate of Insurance that has “George Mason University Board of Visitors, its officers, officials, employees and volunteers” as "additionally insured".
Event Services
Event Services offers a wide range of production services, including audio, video, lighting, and rental furnishings to support your event needs. These services are not limited to Student Centers venues as they can support events campus wide. Production services can be requested three or more weeks before your event through the Event Services Request Form, and those services can be adjusted as necessary throughout the planning process to meet event and budget needs.

Insurance
Please note: All events at George Mason are required to carry insurance and provide George Mason with a Certificate of Insurance that names the University as “Additionally Insured” (or the Certificate Holder).
The insurance requirements are as follows:
- Commercial General Liability in an amount no less than $1M per occurrence with a $2M aggregate
- If minors are present, Sexual Abuse and Molestation in the amount of no less than $1M with a $2M aggregate
- If you will be driving people around on campus for the event, Commercial Automobile Liability in the amount not less than $1M per occurrence
- Workers Compensation in an amount not less than that prescribed by statutory limits
- An Umbrella/Excess policy in an amount not less than $1M to apply over and above the above insurances.
At all times during this Agreement Client shall maintain the following insurance coverage:
- Commercial General Liability in an amount not less than $1,000,000 per occurrence with a $2,000,000 aggregate.
If you do not currently have insurance coverage, you can obtain Special Event Insurance for your event.
Kiosks
Reserve kiosk tables located inside and outside the Johnson Center, Student Union Building I (SUB I), and The Hub to interact face-to-face with the Mason Community, advertising events and services.
Lodging
George Mason Housing can accommodate groups of various sizes between May 26th and August 2nd with residence hall accommodations that fit any group size.

Parking
The cost of parking will vary based on your needs. Parking validations range from $5 to $19, depending on the duration. Lot exemptions for large areas range from $250 to $800, depending on the day of the week. For more details, please visit the parking services website. Security
George Mason Police are responsible for providing all security functions on George Mason's campus. If your event requires security services, it is essential to consult with the Special Events Officer to ensure appropriate arrangements are made. George Mason Police will work with you to assess your security needs and develop a plan tailored to your event. Please make sure to reach out to the Special Events Officer well in advance of your event date to allow sufficient time for coordination and planning. Ensuring proper security measures are in place is crucial for the safety and success of your event.
Temporary Structures
The University may require a written permit for temporary structures based on their type and size. Please review the EHS Temporary Permit Guide prior to submitting an application.
Wi-Fi
George Mason provides complimentary guest Wi-Fi access in Academic and Administrative (Non-Residence Hall) Buildings via the "MASON" network.
